The numbers
Built first for a company our founder runs. That's why we knew what to build.
This is the work behind One Fix and Cash In Faster.
The situation
Two collectors, forty hours a week each, worked a portfolio of more than five thousand open invoices out of email, lists and the phone. Which invoice to touch, and when, came down to what somebody happened to remember. Nobody can prioritize five thousand invoices by hand, so the most recent invoice, or the most recent complaint, got the attention.
What we found
The expensive problem was the hours spent on invoices that were never going to go bad. Most past-due invoices aren’t disputes. The debtor simply hasn’t processed the paperwork yet. Collectors spent a large share of every week on routine check-ins with accounts that were never at risk, so the accounts that were at risk got the same generic attention as everything else, and got it late.
So we stopped guessing and asked. A phone call is expensive. A button is free.
What we built
- A nightly sync of the full receivables portfolio into the platform.
- Scheduled outreach sent from the app before the due date, then at 7, 30 and 45 days, with no collector starting anything.
- One-click status buttons in every email, so the debtor reports whether the invoice is clean or has a problem.
- Replies read and routed automatically. A clean answer logs a note and closes the loop. A problem opens a ticket and assigns a collector.
- Risk scores on invoices and debtors, from reply behavior, payment trends and other signals.
- Those scores in the work queue, so the day is ordered by risk instead of by memory.
The result
Eighty collector-hours a week moved off tracking and check-in email and onto calls about specific invoices showing real risk. Routine outreach runs without anyone starting it, and problems surface before the due date instead of weeks after.
