Built first for an organization our founder helps run.

This is the work behind The System They Run On.

The situation

The organization was running several federal and state grants at once, including FEMA and Pennsylvania PEMA programs, with expense tracking and grant-to-expense matching in spreadsheets. Working out what had been spent and what remained on any grant took hours of upkeep and review. Applying for a new grant was a project of its own: checking every open grant’s budget and timeline by hand to see what capacity existed before committing to something new.

What we found

The hours were the visible problem. The bigger exposure was compliance. Without a category-level view across every open grant at once, the same expense could be allocated to two grants and nobody would catch it until an audit did. A spreadsheet can’t enforce that rule, however careful the person using it. Software can.

What we built

GrantLine, a web application that manages federal and state grants through their whole life.

  • Dashboard, Grants, Expenses, Reimbursements, Reservations, Planning, Reports and Standards, with one view across every open grant.
  • Budgets tracked by category, with reservations, so the structure itself blocks double-allocation.
  • Roles, permissions and an audit trail.
  • Deployed, and in daily production use.

The result

Tens of hours a month out of expense tracking and reconciliation, and the double-allocation exposure closed by design. The organization can answer what’s been spent, what’s left and what we can safely apply for next straight from the system, instead of rebuilding the picture from spreadsheets every time someone asks.
